How do I create and schedule a normal campaign?


Where do we start?

Creation of campaigns


The first step to take to create a campaign in Fideltour is to have previously created a template. In order to create a template we recommend seeing the article of "How is the campaign editor used?", previously published.


Once we have our staff, we will proceed to click on the "Campaigns", "Marketing campaignsof the Campaigns module and a "+ Campaign".



A normal campaign refers to a campaign that is to be launched immediately or to be scheduled for a given date and time.


Once clicked on the + Campaign button we will be redirected to the next step where we will setup our camapaign.

Basic data

The next step once the campaign has been created is to edit the name of our campaign if needed, this name is for internal use only. We recommend to choose a name that will help us to remind what this campaign is about.




Scope

Once the name of the campaign is chosen, we will add the scope, to select the scope it is important to have previously created a segment if you do not want to send the communication to the entire contacts on the database.


In the Type of communication option we can choose between:

  1. Commercial communications: all offers or promotional campaigns, only  for those who have agreed to received also called suscribed contacts.
  2. Transactional communications: campaigns that only inform about an adquired service where we are not promoting or selling anything (ex. a reservation confirmation or survey), this type of campaign will be sent to all contacts it does not matter if they are subscribed or unsubscribed.



In the segment box, we will insert the created segments which will contain the contacts to whom we want reach with the campaign. More than one segment can be selected at a time.


Then we will have two checkboxs where we can decide whether to exclude contacts with future reservations or exclude contacts with any reservations.


If we have any connection as active, as the PMS or the Booking Engine on the website, or if we have made reservations imports, we will be able to use the option of "segment by movements".


In this paragraph we will be able to define several fields that we find in the reservations:


  1. Status of reservation: active (a confirmed reservation) or inactive (a reservation cancelled).
  2. Hotels: if we have more than one hotel in our account, we can decide which we want to address (you can choose more than one)
  3. Types of movement: each movement will enter the platform with a specific type, usually the "Booking" is that of the reserve holder, "Stay" are the various rooms, "Visitor" can be hosted. In general, the types of movements will depend on the configuration of integrations.
  4. Number of minimum and maximum movements: if, for example, we want to send a campaign only to those who have made minimum (or maximum) two reservations.
  5. Initial date and final date: refers to check-in and check-out.
  6. Room types
  7. Regimes
  8. Origin: the most common will be PMS, WIFI, BE (Booking Engine)
  9. Agencies
  10. Booking cost minimum and maximum: if for example we want to send a campaign only to anyone who has spent more than x€
  11. Number of adults, children and babies minimum and maximum


We also have the option of excluding contacts with reservations with children and/or babies by ticking the box at the end.



If we have an active loyalty program through the Rewards module, we will also be able to segment by points.


If at any time we want to know what the updated scope of our campaign is after modifying any of these fields, we can click on "update scope".



When we have our scope defined, we will save.



Sender

It is generally recommended to use the company name as the sender if the communication is being sent from the general email account. If the communication is being sent from a specific department, both the sender’s email and name can be fully customized. However, it is important that the email being used has the SPF (Sender Policy Framework) record properly set up.



Subject

In the subject of the email we will add the commercial title of the campaign that contacts will visualize upon receipt of the campaign. In addition, we can choose a preview text (this text can be viewed in different ways depending on the device or application used by the contact). In these fields it is possible to use some of the dynamic labels found in the templates.

Example: "Hello #NOMBRE#, enjoy an exceptional stay again!".

The #NOMBRE# tag will be replaced automatically with the name of the contact that the campaign is receiving.

Content

In this section we will press the "Edit content" which will redirect us to the template module where we will select the template that has been previously created so that we can add it to our campaign. This template, if desired, can be modified before shipment.



Programming of the campaign

When we already have all the steps successfully completed, we will click on "Send campaign". If we want to schedule the campaign, we will select the desired date and time and click on "program campaign". We also have the "Recommendation by Fideltour" option which studies the optimal time to send the communication, taking into account the campaigns sent and opened earlier.

If we want to send the campaign right away, we will click on the "Send campaign right now" option

Bear in mind that depending on the number of contacts including in the campaign, the sending may not be instantaneous as the system has to collect/prepare the information for each email, that is why we recomend you to schedule campaigns in advance.


Once the campaign has been sent, there is NO option to modify it. You will need to duplicate the campaign you wish to modify in order to create a new one where changes can be made.
